Software for the colored stone trade since 2016

Technology built for the gem & jewelry industry

Nveloop makes gemstone inventory, trading, lapidary, laboratory and e-commerce software for colored stone and diamond businesses — from a single parcel of Ceylon sapphires to a mine-to-market export operation.

Why Nveloop is different

We are not a software company that discovered gemstones

Generic inventory software treats a 4.82 ct unheated Ceylon sapphire the same way it treats a box of screws. It has one field for weight, no idea what a memo is, and no concept of a stone losing 60 % of its weight on the cutting wheel.

Nveloop was written from the inside of the trade. Every screen assumes you deal in parcels and single stones, in carats and pieces, in cash and credit, across several currencies and several countries — and that the same stone will be recut, certified, put on memo, returned and finally sold months later, with every cost still attached to it.

The problem we solve

The stone moves. The information should move with it.

In most gem businesses the record of a stone is scattered the moment it arrives: a weight in a notebook, a payment in the accounting software, a cutting instruction on WhatsApp, a certificate in a drawer, a memo in someone's memory.

“Do we still have that stone?”

Nobody is certain, so someone walks to the safe. Meanwhile the buyer moves on to another dealer who answered in ten seconds.

“What did this parcel really cost?”

Purchase price is easy. Cutting, polishing, lab fees, brokerage, freight and the weight you lost on the wheel are the ones that decide your margin.

“Where is the memo we sent in March?”

Stones on consignment are the most valuable and least tracked part of most gem businesses. They should never be a memory test.

Inventory that thinks in carats

Find any stone in seconds — by variety, colour, treatment or weight

A buyer asks for an unheated Ceylon blue sapphire, cushion, between four and six carats, with a GRS report. In a stock book that is twenty minutes of flipping pages. In Nveloop it is one search, and the answer includes where the stone physically is, what it cost you, and whether it is already out on memo.

  • Single stones and parcels, priced per carat or per piece
  • Full attribute set: variety, colour, shape, cut, dimensions, origin, treatment, certificate
  • Up to three photographs and a video per stone
  • Multiple locations, with transfers logged between them
  • Barcode and QR labels printed straight from the software
  • Physical stock counts that reconcile against the ledger

Memo, brokers and the real trade

Consignment handled properly, not forced into a sales screen

Half the colored stone trade happens on memo. Stones go out with a broker, sit with a client for weeks, come back partly sold and partly returned — and generic software has no honest way to record any of it.

  • Issue stones to consignees and brokers, then invoice only what sells
  • Partial returns and partial invoicing from the same memo
  • Broker commission calculated and tracked to settlement
  • Partnership and joint purchases split between owners
  • Live view of what is out, with whom, and for how long

Every stage of the stone

From rough parcel to certified stone to export invoice

Nveloop follows the physical journey your stones already take, and keeps the money attached to each step.

Purchasing

Record parcels or single stones, split them, and update supplier accounts and payments in the same action.

Cutting & polishing

Issue to a lapidary, track rough-to-polished weight loss, and carry the cutting cost onto the finished stone.

Laboratory

Send stones for testing, hold the report number and treatment result against the stone forever.

Inventory & pricing

Photograph, tag, label and price by carat or by piece, across as many locations as you run.

Memo & sales

Consign, invoice, part-return, chase receivables, and pay broker commission when it settles.

Export & e-commerce

Invoice in the buyer's currency, produce shipping paperwork, and push the same stock to your website.

Your buyers are in Bangkok, Geneva and New York. Your software should keep up.

Nveloop customers invoice in US dollars, pounds sterling, euros, Hong Kong dollars and Thai baht, ship to a dozen countries, and settle with brokers who work across all of them. Currency, payment terms, commissions, shipping fees and export paperwork are part of the system, not something you patch in afterwards.

People in the trade, using it daily

Laboratories, traders and exporters who moved off paper, ledgers and spreadsheets.

Before Nveloop our certificate numbers lived in three notebooks and one spreadsheet. Now a buyer in Dubai scans the QR code and the report comes up in a second. That alone changed how people treat our reports.

Getting started

Live this week, not next quarter

  1. A free 30-minute call

Over Zoom, with someone who knows the trade. Bring your actual problems — a messy parcel, a memo you cannot reconcile, a lab backlog.

  2. We show it on your kind of stock

Not a generic demo. We put your varieties, your currencies and your workflow on the screen so you can judge the fit honestly.

  3. Your data is imported

Send whatever you have — spreadsheet, CSV, old system export, even a scanned stock book — and you go live with your real inventory.

  4. Training, then go live

Around two hours per user, as many sessions as you need. Most Gem Merchant System accounts are running within 24 hours.

What the first call actually covers

  • How you buy today — parcels, singles, partnerships, rough
  • Where your stones physically go: lapidary, lab, safe, showroom
  • How you sell — memo, direct, export, online
  • Which numbers you cannot currently see and want to
  • An honest answer about which product fits, including "none yet"
Questions

Questions gem businesses ask us first

If yours is not here, ask — we answer as gemstone people, not as a support script.

Is Nveloop only for colored gemstones, or does it handle diamonds too?

Both. The inventory model carries colored stone attributes — variety, colour, treatment, origin, certificate, shape and cut — and diamond attributes such as the 4Cs, so a business trading Ceylon sapphires alongside melee diamonds keeps everything in one stock ledger. Gem laboratories testing both colored stones and diamonds use the same report templates.

We already use Excel and an accounting package. Why change?

Spreadsheets are excellent at arithmetic and terrible at history. They cannot tell you that this exact stone was bought in a mixed parcel, recut twice, sent to a lab, put on memo with a broker in Bangkok, returned, and finally sold in a foreign currency — or what it truly cost you by the end of that. Nveloop keeps one continuous record per stone and hands the finished figures to your accountant, rather than replacing them.

Can I use it while I am travelling to gem shows?

Yes. Nveloop is browser-based and works on a phone or tablet, so you can check whether a stone is still available, raise a memo, or send an invoice from a table in Bangkok or Tucson. Your office sees the same data at the same moment.

How long does it take to get running?

Most Gem Merchant System accounts are live within 24 hours of subscribing, including your item categories and user accounts. Training runs about two hours per user over Zoom, and there is no limit to how many sessions you book. A custom Gem ERP build depends on scope; the discovery call gives you a realistic timeline before you commit.

What happens to my existing stock list?

We import it. Send us whatever you have — a spreadsheet, a CSV export from your old system, even a scanned stock book — and we map it onto Nveloop's fields before you go live, so you start with your real inventory rather than an empty database.

Where is my data stored, and who can see it?

Cloud accounts run on encrypted hosting with per-user access levels, so a salesperson can raise an invoice without seeing your purchase costs. If you would rather keep everything inside your own building, the Gem ERP licence can be installed on a server you own.
