Gem ERP — custom gem software

When your operation is too specific for off-the-shelf software

A gemstone ERP shaped around how your company actually buys, cuts, certifies, consigns and exports. One-time licence, your server or ours, free feature upgrades.

Written scope and timeline before you commit

The starting point

Replacing the spreadsheet, the ledger book and the accounting workaround

Most established gem businesses run on four or five systems that do not speak to each other — and one person who understands how they connect.

ONE RECORD, END TO END Every cost, weight change and document stays attached to the stone. 1 Purchase gem parcel in 2 Cutting lapidary issue 3 Lab certificate 4 Inventory priced & tagged 5 Sales memo or invoice 6 Export shipping docs True cost per stone · rough weight to polished weight · broker commission · margin by parcel
What gets built

Your process, in software, without the compromises

Every colored stone business is different in the details that matter most: how rough is allocated, how partners split a parcel, how a cutter is paid, how memo ageing is chased, which report the owner actually reads on a Sunday night.

Gem ERP starts from those details. We map your current process, agree what should change and what should stay, then build the system around it — on the same gemstone data model that has run in the trade since 2016.

  • Screens and workflows matched to your existing process
  • Multi-branch, multi-entity and multi-warehouse structures
  • Approval steps and access levels that reflect your hierarchy
  • Your own report formats, invoice layouts and document templates
  • Installed on your server, or hosted by us — your data, your choice
  • Free feature upgrades for the life of the licence

Core capability

Everything the trade needs, before we add anything custom

Sales & invoicing

Direct invoicing in USD, GBP, euro, Hong Kong dollar and Thai baht, cash or credit, with payment terms, commission and shipping fees handled on the document.

Purchasing & suppliers

Parcel and single-stone purchasing, partnership splits, supplier accounts, advances and settlement, with stock and payables updated in one action.

Manufacturing & lapidary

Issue rough to cutting, record yield and weight loss, attach cutting and polishing costs, and see the true landed cost of the finished stone.

Lab & certification

Certificate and report number management, treatment results, origin conclusions, and permanent linkage between stone and document.

Consignment & memo

Memo items with partial invoicing and partial return, broker commission, and full ageing on everything currently out.

Inventory & labelling

Colour, shape, cut, size, weight, origin and certificate, with barcode or QR labels and location-based transfers between branches.

Reporting & analysis

Stock valuation, margin by parcel and by stone, receivables, payables, yields, and whichever custom report your business actually runs on.

Access & control

Role-based access so cost prices, supplier terms and margins are visible only to the people who should see them.

Deployment

Your own server inside your building, or hosted by Nveloop. Either way the licence is yours and the upgrades are free.

Built for

Businesses where software has to fit the operation

If your process is genuinely unusual, that is normally a competitive advantage — not something to flatten to fit a product.

Large-scale traders

High volume, several currencies, buyers on three continents.

Cutting lapidaries

Yield, wastage and per-cutter productivity are the whole business.

Mine-to-market dealers

Rough allocation, partnership splits and cost carried from the pit.

Exporters

Documentation, customs paperwork and multi-country compliance.

Jewelry suppliers

Components, settings and finished pieces alongside loose stones.

Multi-branch retailers

Several outlets, shared stock, and stock counts that must reconcile.

Add-ons

Connect the stock you hold to the buyers you want

The same inventory can drive a public storefront, a trade-only catalog with hidden pricing, or an existing Shopify store. One stock record, several audiences.

  • E-commerce storefront built on your Nveloop inventory
  • Online gem catalog with access controls and trade pricing
  • Shopify integration for businesses already selling there
  • Barcode and QR labels printed from the same system
  • Custom modules quoted individually, not bundled into a tier
Pricing

A one-time licence, quoted against a written scope

Gem ERP is not priced per seat per month, because the value is not per seat per month.

1. Discovery, free

A structured session mapping how you buy, cut, certify, consign, sell and export today — and where the money is currently invisible.

2. Written scope & fixed quote

You receive the module list, the deployment model, the timeline and the price before you commit to anything.

3. Build, import, train, go live

We import your existing records, train your team, and stay with you through the first cycle. Upgrades after that are free.

Questions

Gem ERP questions

How is Gem ERP different from the Gem Merchant System?

The Gem Merchant System is a subscription product with a fixed feature set that suits most trading businesses. Gem ERP is a licence for a system shaped around your company: your screens, your approval steps, your cost model, your reports, installed on your own server if you want it there. Businesses move to Gem ERP when they have more than ten users, several entities, or a process no subscription product covers.

Who typically buys Gem ERP?

Large-scale traders, jewelry suppliers, gem cutting lapidaries, mine-to-market dealers, colored stone exporters and multi-branch retailers — businesses where the software has to match an existing operation rather than the other way round.

Is it a subscription or a one-time payment?

One-time. You pay for the licence and the build, then own the installation. Feature upgrades are free, and hosting is either your own server or ours — your choice.

Can it connect to our website or Shopify store?

Yes. Stock can be published to an Nveloop storefront, an online gem catalog with access controls for trade-only pricing, or an existing Shopify store, so the stones you have in the safe are the stones on the site.

What about our accounting software?

Gem ERP handles the gemstone-specific side — true cost per stone, yields, memo, commissions — and exports clean figures for your accountant. Replacing your accounting package is rarely the right move and we will say so.

How long does a custom build take?

It depends entirely on scope, which is why the first call is a discovery session rather than a sales pitch. You get a written scope and a realistic timeline before any commitment.
