Gem businesses running on Nveloop
One system instead of a stock book, three spreadsheets and a WhatsApp thread
Most gemstone businesses do not lack information — they lack it in one place. The purchase is in a ledger, the cutting instruction is in a chat, the lab report is in a drawer, the memo is in someone's head, and the invoice is in accounting software that has never heard of a carat.
The Gem Merchant System puts the stone at the centre and attaches everything else to it. Buy it, cut it, certify it, photograph it, tag it, consign it, invoice it, ship it — and the record is still one record at the end.
- Purpose-built for colored stones and diamonds, not adapted from retail software
- Browser-based, so nothing to install and nothing to back up yourself
- Your team sees the same stock at the same moment, in any country
- Your accountant still gets clean figures — GMS does not replace them
Every module, built around how stones actually move
Nothing here is a generic business feature with a gemstone label on it.
Purchasing
One entry screen updates stock, the supplier account and the payment at the same time. Split a mixed parcel into individually costed stones.
Lapidary & manufacturing
Issue rough to a cutter, record what came back, and carry the weight loss and the cutting cost onto the finished stone.
Lab submissions
Track stones out for testing, hold the report number, treatment result and origin against the stone permanently.
Inventory & labels
Full gemstone attributes, photographs, multi-location stock and printed barcode or QR labels.
Memo & consignment
Issue, part-return and part-invoice against one memo, with broker commission carried to settlement.
Invoicing & payments
Multi-currency invoices, cash or credit, receivables, payables and customer payment history.
Customers & suppliers
Complete purchase and sales history per contact, with credit terms and access-controlled visibility.
Reporting
Sales, purchases, stock valuation, receivables, payables, location transfers and cost analysis.
Mobile access
Check stock, raise a memo or invoice from a gem show, with the office seeing it live.
Search the way a buyer asks
“Unheated Ceylon blue sapphire, cushion, four to six carats, with a GRS report.” GMS answers that as a single lookup across variety, colour, treatment, shape, origin, certificate and weight range — and tells you where the stone physically sits and whether it is already out on memo.
- Single stones and parcels, priced per carat (ct), per gram or per piece
- Three photographs and a video per stone on Premium
- Barcode and QR labels printed directly from the software
- Multiple locations with logged transfers between them
- Physical stock counting that reconciles against the ledger
- Unlimited items and categories on every plan
The part every other system gets wrong
A stone on memo is not sold and it is not in your safe. It is the single most valuable thing in your business that nobody can find, and generic software has no field for it.
- Issue single stones or whole parcels to a consignee or broker
- Stock shows them as out, not as sold — your valuation stays honest
- Client keeps three of eight? Invoice three, return five, one memo
- Broker commission calculated and carried through to settlement
- Partnership and joint purchases split correctly between owners
- Ageing view: what is out, with whom, and for how long
Invoice a buyer in Bangkok and a buyer in Geneva from the same screen
GMS bills in US dollars, pounds sterling, euros and Hong Kong dollars, on cash or credit terms, priced by stone or by weight. Payments, receivables, payables, sales returns and customer history all sit behind the invoice rather than in a separate ledger.
- Foreign currency invoices
- Cash and credit terms
- Customer payment history
- Supplier accounts and payments
- Sales returns and credit notes
- Receivables and payables ageing
- Other costs: rent, courier, utilities
- Export to spreadsheet for your accountant

People in the trade, using it daily
Laboratories, traders and exporters who moved off paper, ledgers and spreadsheets.
Before Nveloop our certificate numbers lived in three notebooks and one spreadsheet. Now a buyer in Dubai scans the QR code and the report comes up in a second. That alone changed how people treat our reports.
The part that convinced me was the memo screen. Every other system wanted me to pretend a consignment was a sale. Nveloop already knew what memo meant.
We were quoting in four currencies and losing track of what a parcel had actually cost us after cutting and lab fees. That number is now on the screen.
What is the Gem Merchant System?
The Gem Merchant System (GMS) is Nveloop's cloud software for gemstone trading businesses. It handles purchasing, inventory, lapidary and lab jobs, consignment and memo, multi-currency invoicing, customer and supplier accounts, and reporting — in one place, from any browser or phone.
How many users can I have?
Standard covers one to two users, Pro one to five, and Premium one to ten. Each user gets their own login and access level, so a salesperson can raise invoices without seeing purchase costs or supplier terms. Larger teams are handled through a Gem ERP licence.
Can I print barcode labels for my stones?
Yes, on the Premium plan. Labels print straight from the software with the stone's variety, weight, treatment, certificate number and a barcode or QR code, so a stone can be found by scanning rather than by reading a packet.
Does GMS handle stones that are out on memo?
Consignment is a first-class part of the system. You issue stones to a consignee or broker, the stock ledger shows them as out rather than sold, and when the client keeps two of five stones you invoice those two and return the rest — against the same memo, with broker commission calculated automatically.
Will it work on my phone at a gem show?
Yes. GMS is mobile-optimised, so you can check availability, raise a memo or send an invoice from the show floor while your office sees the same data instantly.
What happens if I outgrow my plan?
You move up a tier and keep all of your data — there is no migration. If you eventually need workflows the subscription product does not cover, your data moves across to a custom Gem ERP build.
